Welcome to Issue 172 of 🍏Lunch N Learn with Lindsay🍏.

I’m joining you today back at Your Excellency HQ in the beatuiful Bedfordshire countryside of England on a glorious sunny day. I love blue skies and sunshine so hoping this welcome weather will last a little longer before the Autumn (“Fall” for our American readers!) kicks in with a vengeance and we start the countdown to EOY!

I’m excited to have lots of inspiration lined up for the coming weeks based on my travels across India #exciting.  However, for today’s issue, I’ve promised you a portfolio of questions to use as a “checklist” when organising events so here we are!

Organising an event?

Use the Open Questions (AKA 5 BUMS ON A RUGY POST) Model to pull together a portfolio of questions.

(The following is not an exhaustive list and can be used as a “starting point” and tailored for you own use)

What’s important about this event?

What?
What do we need/want to achieve?
What is our desired outcome for this event?
What feedback will we ask for post event?
What are the timings for this event?
What time can we have access to the venue?
What resources do I need? (name badges, paperwork, IT equipment, catering…)
What do I need/want to know about the attendees?  
What would be useful to know about the attendees?  (special requirements – mobility, diet, parking/access…)
What are the timings for this event?
What is the agenda?  
What else is happening at the venue/location at the same time as our event?*
What documentation/packs/information do attendees need?
What is my role during and after the meeting?
What information do my attendees need ahead of the event & WHEN?
What information do my attendees need post event & WHEN?
What else would it be useful to know?!
What facilities are there for bag store/coats/cloakroom?
What makes this the ideal venue for us over others?!

When?
When is the event to take place?    
When do we need agenda inputs by?
When can we have access to the event/training room?
When do we need to vacate the training room?

Who?
Who is the timekeeper for this event?
Who will be notetaking for this event?
Who is in charge of catering?
Who do I need to create rapport with? (IT person!  Catering person! Keynote speakers! Funders and key stakeholders etc etc)

Where?
Where is the event to take place?
Where have we held events before that have been successful?
Where will I sit attendees?
Where are the restrooms?
Where is parking?  
Where is the venue in relation to my attendees? (think travel time…)

How?
How will we know this event has been a success?   
How will we ask for feedback?
How can I find out about the attendees?
How can I find out about the venue?
*How is this likely to impact our event?
How does this venue fit with our needs (visit the venue in person!)?
How will safety information be shared with attendees (Fire exits, location of restrooms)?
How much time should be assigned to speakers?

Who?
Who has used this venue before and can provide me with information/feedback on it?
Who needs to be in attendance?
Who needs to be there?  Who doesn’t need to be there?
Who is the IT person?  Who is the event coordinator/key contact?  
Who will be in attendance and what do I need to know about them?
Who will greet arrivals?
